Part-time Administrative Secretary - Ferris Heights UMC

Ferris Heights United Methodist Church is looking for a part-time Administrative Secretary in order to connect Ferris Heights families to the vision and strategy under the mission of the church: Making Disciples of Jesus Christ for the Transformation of the World.  That will be organized through and around the church’s ministry strategy of: Build, Belong, and Serve

STATEMENT OF PURPOSE:
The position of Administrative Secretary exists to assist the congregation, the pastor, and other staff
members in conducting the various tasks of ministry. To realize this purpose, the administrative secretary
is expected to work amicably and obligingly with the pastor and cordially assist the congregation and the
public so that church business might be accomplished. A pleasant and helpful disposition is required as is
the ability to strictly keep information confidential.

ACCOUNTABILITY:
The Administrative Secretary works under the direction and supervision of the pastor and is immediately
accountable to him/her. However, as an employee of Ferris Heights United Methodist Church, she/he
shall have access and be accountable to the Staff/Parish Relations Committee as specified in The United
Methodist Book of Discipline.

REQUIRED EDUCATION AND EXPERIENCE:

  1. High school diploma or GED
  2. A competent command of the English language
  3. Basic accounting or bookkeeping course from college or business school is recommended
  4. Previous experience or equivalent training in the following skills:
    a) Keyboarding
    b) Bookkeeping
    c) Filing/record keeping, records retention and disposal
    d) Interpersonal communications/Public relations/Office operations
    e) Working knowledge of computer programs including Microsoft Office 360,
  5. Knowledge of Power Church and Quick Books is preferred.
    DUTIES:
  6. Type professional correspondence for the pastor and staff as needed
  7. Develop, produce, and mail monthly newsletters
  8. Keep the church calendar and send reminders of meetings to members of church committees
  9. Type and produce weekly worship bulletins and bulletins for other worship services as
    requested
  10. Operate office machinery with sufficient care and skill to produce the clearest and most
    attractive work possible
  11. See that office machines are kept clean and in good operating condition
  12. Establish and maintain filing folders and systems in an orderly manner. Keep records as
    requested by the pastor and as required by the District, The Central Texas Conference and The
    United Methodist Book of Discipline
  13. Greet the public and members cordially and handle all communications in a pleasant and helpful
    manner
  14. Screen telephone calls as requested by the pastor
  15. Record all financial information including bills and contributions and produce monthly financial
    statements and annual gift-giving statements
  16. Manage the monthly bill cycle and issue payments promptly
  17. Process employee payroll, prepare and file required payroll tax returns, and initiate payment of
    payroll taxes promptly
  18. Oversee security system and key distribution as instructed by the trustees
  19. Order supplies and literature
  20. Other duties as assigned

 

GENERAL INFORMATION:
Hours 9:00 a.m. – 1:00 p.m. Monday – Thursday: Attendance, as Recording Secretary, at all Directors
Meetings, typically once a month on the fourth Monday of the month.
Use the security system as a timeclock. Buzz in and buzz out when you leave. Holidays, vacation &
personal time policies are available in the Employee Handbook.


PAY PERIODS:
Staff are paid bi-weekly. Work weeks begin on Monday and end on Sunday. Each pay period lasts two
weeks. Paychecks will be ready for distribution by Wednesday following the pay period cutoff. If a
payday falls on a holiday, salary checks will be dated and distributed on the prior workday.


PERFORMANCE REVIEWS:
There will be performance evaluations with the pastor at 3 months, 6 months, and at 1 year. Each year
employees will have a performance review conducted by the pastor and members of the Staff-Parish
Relations Committee.


SALARY:
Starting salary will be $15.00 per hour and will be commensurate with experience. The Staff/Parish
Relations Committee sets salary. A salary review by the Staff/Parish Relations Committee will take place
yearly.


BACKGROUND CHECKS AND OTHER CERTIFICATIONS:
The Administrative Secretary must agree to an annual background check by the church. MinistrySafe
training also must be kept current.
Confidentiality and personal use of office machines and grievance procedures are outlined in the policy
and procedure manual.
Ferris Heights United Methodist Church is a smoke-free facility. If you smoke, you must do so outside
away from any entrance door.
